This guide walks you through configuring SimpleSUB to export billing data in a format that imports directly into Rent Manager, no reformatting required.
Step 1: Configure PMS Export Settings
Do this once per property before your first export.
a. Open PMS Export Settings
In SimpleSUB, go to your property settings and find the PMS Export Settings section. By default, it will show "Not configured." Click the edit icon in the top right corner of the section to begin setup.
b. Select Rent Manager
Click the PMS Type dropdown. Select Rent Manager from the list.
c. Enter Property Details and Map Units
After selecting Rent Manager, three fields will appear:
- Property Short Name — Enter the exact short name for this property as it appears in Rent Manager (e.g. AVISE). This must match precisely.
- Default Charge Type — Enter the charge type code used in Rent Manager for water charges (e.g. H2O). Optional, can be left blank and set during import.
- Unit Name Mappings — For each unit in SimpleSUB, enter the corresponding unit name as it appears in Rent Manager. If names already match, leave them as-is.
When done, click the checkmark in the top right to save your settings.
Important: Property Short Name must match exactly. Go to your Rent Manager account and confirm the exact short name for this property before saving. A mismatch here will cause the import to fail.
Step 2: Run Billing and Export the File
Repeat this each billing period after entering usage and reviewing invoices.
a. Reach Step 3: Final Review
Add your water utility bill as normal, entering the billing period, usage readings, and total cost. Continue through to Step 3: Final Review, where SimpleSUB shows how the bill has been distributed across each tenant.
Review the invoice amounts and due dates. Check the boxes next to the units you want to include in the export.
b. Click "Export for Rent Manager"
At the bottom of the Final Review screen, click the dropdown arrow next to the main download button. Select Export for Rent Manager from the menu. This downloads a CSV file pre-formatted for Rent Manager's Import Charges feature.
Note: The file name includes your property short name and billing period, for example: RM_Export_AVISE_2026-02-01_2026-02-28.csv. Save this file and use it in the next step.
Step 3: Import the CSV into Rent Manager
In Rent Manager, use the Import Charges feature to bring in the exported file.
a. Open Import Charges and upload the file
In Rent Manager, navigate to Import Charges. Upload the CSV file you exported from SimpleSUB.
When the Import Charges Settings dialog appears, select "Use Property Short Name and Unit supplied in the import file." This tells Rent Manager to match each row to a tenant using the property and unit names already in the CSV, which SimpleSUB has pre-populated correctly.
b. Review the data and complete the import
Rent Manager will display the imported rows showing Property Short Name, Unit Name, Amount, Charge Type, and Date for each unit. Verify the rows look correct, then click Next to complete the import.
Final Note: The CSV contains the correct property name, unit names, amounts, charge type, and billing date. As long as your unit name mappings in SimpleSUB match Rent Manager exactly, the import will go through cleanly.
