Once you’ve created the tenant cost report and generated invoices, you’re ready to send your first tenant water bills.
Before sending invoices, take a moment to review the details to ensure everything looks correct.
Review the Tenant List
Start by reviewing the list of tenants included in the billing report.
Confirm that:
- All active units are listed
- Tenant names and email addresses are correct
- Charges appear reasonable based on the usage data
This quick review helps prevent billing errors before invoices are sent.
Select the Invoices to Send
When generating invoices, you will see a list of invoices for each unit.
From this screen, you can:
- Select or deselect specific invoices
- Confirm the charges for each tenant
This allows you to send invoices only to the tenants you choose.
Send Invoices by Email
Once everything looks correct:
- Select the invoices you want to send.
- Click Send Invoices.
The Web App will send the invoices directly to the tenant email addresses associated with each unit.
Each invoice includes:
- The tenant’s water charges
- The billing period
- A usage graph
- Your payment instructions and payment link (if provided)
Note: SimpleSUB Water does not provide a tenant or resident payment portal and does not process tenant payments. Any payment link included on an invoice must be provided by the property owner, property manager, or account holder.
Resend Invoices
If a tenant did not receive their invoice or needs another copy, you can easily resend it.
Simply:
- Locate the invoice in the billing view
- Select the invoice
- Click Send Invoice again
This will resend the email to the tenant.
Download Invoice PDFs
You can also download invoices as PDF files.
Downloading PDFs is helpful if you want to:
- Send invoices manually
- Keep records for your files
- Upload invoices to property management software
To download invoices:
- Select the invoice(s)
- Click Download PDF
Note:
- Property owners or account holders are responsible for paying SimpleSUB Water service fees.
Tenant invoices are separate from the SimpleSUB Water service fee.
