This guide explains how to export billing data from SimpleSUB in a format that imports directly into Rent Manager—no reformatting required.
Step 1: Configure PMS Export Settings (One-Time Setup)
Complete this once per property before your first export.
a. Open PMS Export Settings
- Go to Property Settings in SimpleSUB
- Find PMS Export Settings (will show Not configured)
- Click the edit icon to begin
b. Select Rent Manager
- In PMS Type, select Rent Manager
c. Enter Property Details & Map Units
Fill in the following:
- Property Short Name
Must match exactly as it appears in Rent Manager (e.g., AVISE) - Default Charge Type (optional)
Example: H2O
(Can also be set during import) - Unit Name Mappings
Match each SimpleSUB unit to its corresponding Rent Manager unit- If names already match, no changes are needed
Click the checkmark to save.
Important: Property Short Name must match exactly. Go to your Rent Manager account and confirm the exact short name for this property before saving. A mismatch here will cause the import to fail.
Step 2: Run Billing & Export the File
Repeat this each billing cycle after reviewing invoices.
a. Complete Billing
- Add your utility bill as usual
- Proceed to Step 3: Final Review
- Review charges and due dates
- Select the units you want to export
b. Export for Rent Manager
- Click the dropdown next to the download button
- Select Export for Rent Manager
This downloads a pre-formatted CSV file.
Note: The file name includes your property short name and billing period, for example: RM_Export_AVISE_2026-02-01_2026-02-28.csv. Save this file and use it in the next step.
Step 3: Import the File into Rent Manager
a. Upload the File
- In Rent Manager, go to Import Charges
- Upload the CSV file
When prompted, select:
“Use Property Short Name and Unit supplied in the import file”
b. Review & Complete Import
- Verify:
- Property Short Name
- Unit Names
- Amounts
- Charge Type
- Billing Date
- Click Next to complete the import
Final Note: The CSV contains the correct property name, unit names, amounts, charge type, and billing date. As long as your unit name mappings in SimpleSUB match Rent Manager exactly, the import will go through cleanly.
Quick Troubleshooting
- Import failed? → Check Property Short Name
- Missing units? → Verify unit name mappings
- Wrong charges? → Review Final Review screen before export
